Multinational Hospital Case Study
A Multinational Hospital chain automates patient appointment reminders and feedback for over half a million patients
Customer: A Multinational Hospital Chain
Industry: Healthcare
Scale: 73 Hospitals & 300 Clinics
How a healthcare contact center solution helped a 73-hospital, 17-country network reduce patient no-shows, automate appointment reminders, and capture real-time patient feedback, without adding a single call center agent.
The Client
The customer is one of the world’s leading multinational hospital chains, having touched more than 120 million lives across 120 countries over 35+ years of clinical care. The organization delivers everything from routine wellness and preventive healthcare to advanced, life-saving treatments and diagnostic services, and it runs multiple centers of excellence across nearly every medical specialty.
Its scale is considerable: 11,000+ healing hands, 10,000+ beds, 73 hospitals, 300 clinics, 1,100 diagnostic centers, 200 telemedicine units, and 4,500+ pharmacies spread across 17 countries. Running patient communication at this scale calls for a healthcare contact center solution built for automated patient communication, not manual, agent-led outreach.
The Challenge
Each hospital in the chain managed thousands of pre-booked walk-in appointments, and patient no-shows had become a persistent, costly problem. The irony was hard to miss: on one side, patients struggled to get appointment slots; on the other, confirmed slots went unused because patients simply did not show up.
The obvious fix, having agents call every patient to remind and reconfirm appointments, was not one the chain wanted to pursue. It would have meant building and managing a large calling team, absorbing the associated costs, and living with the lag time of manual outreach across 73 hospitals and 300 clinics. The chain needed patient appointment reminders that worked automatically, at scale, without adding headcount.
The Solution
ClearTouch proposed VocalRx, its healthcare contact center software, to close the gap between booked appointments and patients who actually showed up.
Automated appointment reminders and reconfirmation
VocalRx broadcasts appointment reminders to patients instantly and lets them respond with a simple key press: ‘1’ to reconfirm, ‘2’ to reschedule, or ‘3’ to cancel. Every canceled appointment is automatically released back into the queue, so hospitals can offer that slot to a waiting patient instead of losing it. What began as agent-led outreach became truly automated patient communication, run end-to-end through VocalRx.
Extending into voice of the customer
Once appointment reminders were running smoothly, ClearTouch extended VocalRx into an automated patient satisfaction survey, capturing the chain’s Voice of the Customer without a single manual call. Patients share feedback the same way they confirm appointments, through simple key-press responses, making patient feedback collection part of the same automated flow rather than a separate exercise.
Integrating with appointment apps and Microsoft CRM
The hospital chain relied on multiple appointment booking applications and an extensive Microsoft CRM platform that its teams had used for years. Rather than asking the chain to change how it worked, ClearTouch integrated VocalRx directly with those systems through APIs. Patient data now flows automatically from the central data warehouse into VocalRx’s List Management Service (LMS), which schedules outbound calls at set times, like 8 AM, 3 PM, and 6 PM, chosen from historical call data and peak response intervals. Every key-press response, whether an appointment reconfirmation or a satisfaction rating, is pushed back in real time to the originating appointment application or CRM, keeping records accurate without manual data entry.
Benefits
Automated, agent-free reminders
Appointment reminders and reconfirmations run entirely through VocalRx, removing the cost and delay of manual, agent-led calling.
Fewer no-shows, better slot utilization
Canceled appointments are released and refilled automatically, turning a chronic no-show problem into recovered appointment capacity.
Real-time voice of the customer
Automated satisfaction surveys turn patient feedback collection into a continuous, scalable process instead of a periodic one.
Deep application integration
Tight API integration with appointment booking apps and Microsoft CRM keeps every system updated in real time, with no manual data handling.
Data-driven call scheduling
Outbound calls are scheduled through LMS around historical peak-response windows, improving reach and response rates.
A platform for broader patient engagement
Beyond reminders and surveys, VocalRx now powers patient outreach campaigns on cancer awareness, mammography, and heart health, extending the same healthcare customer experience solution to new use cases.
